What you'll do
• Oversee daily SmartStart Hub operations, including intake coordination, workflow alignment, and documentation standards.
• Troubleshoot service-flow or communication issues and escalate concerns when necessary.
• Ensure Hub practices meet quality, privacy, and family-centred care standards.
• Supervise intake, scheduling, data systems, and client records staff, providing coaching and performance management.
• Conduct regular audits to ensure documentation accuracy, completeness, and compliance.
• Support consistent use of the Electronic Health Record (EHR) and other documentation processes.
• Liaise with internal teams to resolve workflow, service-flow, and documentation challenges.
• Monitor operational indicators such as cancellations, waitlists, and documentation timeliness.
• Track and report trends, risks, and recurring issues to leadership.
• Support implementation, training, and monitoring of quality improvement initiatives.
• Assist with preparation of reports, quality data summaries, and accreditation activities.
• Coordinate meetings, schedules, documentation, and KPI tracking.
• Hire, orient, train, evaluate, discipline, and manage staff in collaboration with leadership and HR.
• Conduct team meetings, supervision sessions, and performance evaluations.
• Oversee scheduling, workload distribution, and staffing coverage.
• Ensure compliance with health and safety standards and OHSA requirements.
• Provide onboarding, ongoing training, mentorship, and support for staff development.
• Identify learning needs and contribute to annual training plans.

Education, Qualifications and Certifications
• Post‑secondary degree or diploma in health, social services, quality improvement, or a related field.
• Knowledge of electronic health record systems and clinical documentation principles.
• Training in quality methodologies (e.g., Lean, PDSA/Model for Improvement, Continuous Quality Improvement, Six Sigma) is an asset.
Experience and Knowledge
• A minimum of two (2) years of work experience in a community, health, or social services environment.
• Experience using quality improvement tools (e.g., process mapping, root cause analysis, 5S) to support quality initiatives, data monitoring, client flow processes, or administrative coordination.
• Previous supervisory or mentoring experience is an asset.
• Develop an understanding and support for the mission and purpose of Lansdowne Children’s Centre and its implications as related to position responsibilities.
